Introduction

Many organizations roll-out of SharePoint without considering the resources necessary to own and operate SharePoint, particularly human resources . The initial focus is often placed on the technical side of the development and the initial go-live, ongoing management of the site is given little thought. One area that is often given fewer resources for training, which is more often than not a mistake. Without proper training for all users concerned the SharePoint deployment will fail.

This document attempts to detail the five qualified separate concerns needed to manage and leverage SharePoint and training necessary for each.

Although details this article these concerns other than that does not mean they can not be performed by the same person. The only caveat to this is that the owner of the main SharePoint should never be in it - this is explained in a separate document that is available entitled The Seven Pillars of SharePoint.

should also be noted that the specific concern is not absolute, as every organization is different and so are the responsibilities assigned to a skill. These responsibilities need to be tuned to meet the internal layout of your organization and the skills you have in-house. This document will guide you through the identification of qualified areas and should help you choose the proper moat member of staff to meet each role.

Once SharePoint is deployed in your organization, there are different skills required to maintain the system and to develop in line with the business strategy. These skills are seen as separate issues, and, if possible, be better served by different people. Obviously this is not always the case, but by analyzing the matrix skills as if it were a separate people is much easier to understand.

There are four main players in the world of SharePoint - SharePoint System Administrator, Super User, SharePoint Designer and Web Developer. These terms will be referred to constantly in this document.

we chose to omit the fifth player from this diagram -the end user. SharePoint end users contribute but are not necessary for the development of the system; We discuss end-users at the end of this document.

Skill Area 1 - SharePoint System Administrator

Perhaps one of the most misunderstood skills in SharePoint is that the system administrator. Many people confuse the system administrator with a concept referred to as a SharePoint administrator (we refer to this role as the Super User). Instead of explaining the differences between the two roles I'll explain the SharePoint administrator's function system in detail in this section and the Super User in detail later in this document.

The SharePoint administrator system is primarily concerned with the functions of back-end SharePoint focusing on how it integrates with other server applications.

Responsibility

  • Selecting the correct version of SharePoint.
  • Specify the most appropriate set for the expected load.
  • SharePoint deployment properly.
  • Setting up e-mail (incoming).
  • Email Setup (outgoing).
  • Secure Anti-Virus is operable.
  • Security configuration of start-up.
  • Configure shared services.
  • Configure search.
  • Backup.
  • Restore.
  • Disaster Recovery.
  • Other focusing functions on the Central Administration page
Skills

Anyone carrying out this function should have a minimum of two years of work as a system administrator on Windows Server, SQL and Exchange. They should be fully available to the domain name system (DNS) and Active Directory.

The formation as a bolt-on to existing skills listed above the administrator of the system would take benefit from a 5 day Administrators SharePoint course. Make sure this is not a system administrator over a SharePoint administrator course!

Work Load

It is expected that once the SharePoint system is robust, and the additional burden on the administrator will be an additional 1% of their load existing work.

Skill Area 2 - Super User

This individual has the most important function within SharePoint, are responsible for the SharePoint configuration to meet 70% of organizations need to measure. This is the role that is sometimes referred to as SharePoint Administrator, as administer the SharePoint front-end environment. Once your system administrator has installed SharePoint and confirmed that was installed firmly Super User takes over.

This role is not technical (meaning no code knowledge, or information systems is required) and we strongly recommend that this role is given to someone outside it. This is because the focus of this role should be on the (information) and not on the T (technology). In our experience, a team member will focus on technology, because that is what they know. This role is suitable for a business analyst, as they have the ability to analyze problems and find the best solutions to the current organizational strategy. The Super User uses SharePoint out-of-the-box on hand to meet the needs of the business. They will focus on the use of the Site Actions button to deliver the needs of the business.

Responsibility

  • Managing collections.
  • Security configuration at the site level.
  • Creating and owning sub-sites.
  • Creating lists, blogs, wikis, etc.
  • Create and configure the site functions.
  • business issues mapping the functions of SharePoint.
  • All configurations under the Site Actions button.
  • Creating policies at the site level.
Skills

This individual must be a good communicator at all levels and have excellent presentation skills. They need to be able to understand the business and analyze business problems. The Super User must have a solid understanding of how SharePoint can be configured out-of-the-box. The Super User must have excellent business analyst skills and must be able to map business problems on SharePoint features.

Training

This user will need 5-day training course for the Super User, and a training course for the end user than 3 days. This will give them a full understanding of the out-of-the-box SharePoint.

Work Load

The Super User can expect to have 100% of their time to work with SharePoint sites. time there will be divided between the development of new uses of SharePoint and monitor and maintain the existing SharePoint sites.

Skill Area 3 - SharePoint Designer

A further 20% of the needs of organizations measure can be adapted from the SharePoint designer. The customizations made by this individual are changes that can not be done through the SharePoint user interface that is the Site Actions button. Once the Super User has exhausted all possibilities through the Site Actions button SharePoint Designer comes.

The three main areas of SharePoint Designer is used for branding, creating workflows and connect to external data sources. This document split the SharePoint Designer skill set in these three different workflows, to clarify the different skills required for each. This does not mean that three different people must commit to each sector, in fact, a person could manage all three strands.

SharePoint Designer (banding)

This person will be responsible for managing the look and feel of a SharePoint site, this will involve the creation of page layout, to make changes the master pages, and the responsibility for the aesthetics of the site. This person must be aware of accessibility standards in the design to ensure the design is as inclusive as possible, as well as being pleasing to the eye.

Responsibility

  • page layout creation.
  • Change the master page.
  • Giving guidance on best design practices.
Skills

The person performing this function needs to have a thorough understanding of the web and preferably come from a web design background. Knowledge of Cascading Style Sheets (CSS) and HTML is very desirable. As mentioned earlier knowledge of accessibility standards is also desirable.

Training

This user will need a SharePoint Designer progress 5 a day, preferably at face web and graphic designer.

Work Load

The SharePoint Designer usually has a 100% time supplied to a successful distribution and, subsequently, an amount of reduction commitment. The workload typically consists of small projects delegated to them by the strategy team.

SharePoint Designer (Workflow)

workflow is an important part of any deployment of SharePoint, SharePoint Designer has extremely powerful capabilities for the development of the workflow tailored. The person responsible for this work with the Super User to examine business processes and translate them into SharePoint Designer workflows.

Responsibility

  • By examining the needs of users.
  • The design of work and their construction flows.
  • test and evaluate the existing workflow.
Skills

This person needs to have a broad knowledge of current business processes and analytical skills. The previous work experience in business processes mapping is desirable.

Training

This person will need a 5-day course SharePoint Designer.

Workload

The SharePoint designer usually has a 100% of time supplied to the top of a distribution and, subsequently, an amount of decrease of commitment. The workload typically consists of small projects delegated to them by the strategy team.

SharePoint Designer (Access Database)

The companies will have information and data stored in multiple storage sites across multiple locations. A good point of SharePoint is that you can access information in other places through SharePoint. SharePoint designer can be used to create access to this information so that it can be used repeatedly.

Responsibility

The creation of data access modules. Ensure laws on data protection are respected.

Skills

The person in this role will have a data compression and a technology called ActiveX Data Objects (ADO). Previous experience of writing databases is an advantage. Knowledge of the law on data protection is also desirable.

Training

This person will need a SharePoint Designer course of five days.

Workload

The SharePoint designer usually has a 100% of time supplied to the top of a distribution and, subsequently, an amount of decrease of commitment. The workload typically consists of small projects delegated to them by the strategy team.

Skill Area 4 - Web (NET) Developer

The remaining 10% of the SharePoint needs to measure an organization can be achieved by inviting the services of a Web (NET) for developers. This person should be a last resort when it comes to SharePoint development, SharePoint works best when the characteristics of out-of-the-box are fully exploited.

This individual will be able to make the deep customization and provides the ability to achieve very tight integration between SharePoint and legacy systems. Custom web parts and complex workflow processes can be designed ba Web (.NET) Developer. A Web Developer would be called only when both the Super User and SharePoint Designer have exhausted all other options.

Responsibility

  • developing solutions / functions within best practice guidelines.
  • Working with and leveraging the object model.
  • Working with and leveraging the SharePoint web services.
  • Development of web part.
  • Creating user controls.
  • implementing events.
  • The development of complex asynchronous workflows.
  • Distribution of solutions and features with the best practices.
  • Working with more security.
  • The creation of code in line with the best practices.
Skills

The Web (.NET) Developer must have a minimum of development experience 3 years.NET. They must have experience developing for the browser and have worked with ASP.NET 2 for at least 12 months.

Their basic skills will need to be:

  • The understanding of the SharePoint object model, and
  • Working with workflows
Training

This user will need a SharePoint course for five days developers.

Work Load

Web developers work load will be much depends on the needs of the business and in particular the level of integration with legacy systems.

Again, in the initial implementation stages of the Web Developer will be heavily used and, after a period will have fewer demands made on their time. Web developers will be called on an ad hoc basis to complete the project

Skill Area 5 - End User

Last but not least, the end user You will also need some ability to SharePoint. Even if the required skills are minimal, end users will still need training to build their confidence and site acceptance. When end users receive adequate training and explicitly told what is expected of them when you are using the most likely site you are to be a success. The general rule for the formation to the end user with SharePoint is to focus learning skills based on small packages and make sure that users are comfortable with them. It 's always better to train in fewer areas well to cover a lot of topics without users actually understand.

Responsibility

  • navigate through the site and find content.
  • Organize yourself with alerts and RSS feed to keep updated.
  • file documents in the appropriate place.

Skills

end users do not need any specific skills and providing they have had some exposure to the Internet will be able to work with SharePoint.

The provision of training is mainly to build trust and acceptance initially site.

Training

end users require a session one day closer to the go-live of the possible. This session should focus on the tasks that are going to complete in a day to day basis.

Work Load

The end user can expect to interact with the SharePoint site 100% of the time on an ongoing basis. This, of course, depend very much on the tasks that must be performed by the end user to the function of the site. end users make up the majority of SharePoint users.
